[Massplanners] Department Feedback for Special Permits

Happy Friday everyone!

I'm writing to see if there are other Towns/ Planning Boards that have developed an effective mechanism to gather feedback from Departments to help inform the Special Permit process.  With some Department head turnover in recent years and constraints on staff time, we've found that blanket requests for input go unanswered.  This is understandable, so I'd like to see if any other Town has developed Department-specific forms or another tool in order to gather feedback or concerns, particularly from Public Safety officials, as we've heard they are pressed for time and unfamiliar with application review.  We've received excellent feedback when scheduling one on one meetings with staff, however this time commitment is unsustainable.

Any advice would be helpful!
